Mixing Pre-Event Excitement with Onsite Gifting

Our client came to us with an ambitious vision: a 1,500-person program requiring both a branded pre-mailer experience and a high-touch onsite gifting activation at two neighboring hotels. They needed each participant to receive a fully customized package ahead of the event, shipped directly to individual homes, both domestic and international. Additionally, the onsite gifting experience needed to bring the same excitement! Signature Group Events (SGE) was faced with managing logistics for both the physical mailer and live gift redemption while tracking guest interactions in real time for a seamless, memorable gifting experience for all.

Solution

SGE handled every detail – from custom packing boxes and palletizing the pre-mailers to coordinating guest redemption deliveries. For the onsite gifting event, which included a custom gifting website, a gifting team for each hotel seamlessly managed guest flow, tracked instant gift pickups, and monitored virtual gift redemptions, all in one place on our tailored check-in app. Our client received live updates of how many people ordered each gift, and guests walked away with premium gifts like Beats headphones, sunglasses or chose to have larger items like YETI products or Vuori apparel shipped to their door.

For the onsite activation, we organized a gifting team for each hotel, developed a custom gifting website, and created a fully tailored check-in app designed specifically for this event. This allowed our onsite team to seamlessly manage guest flow, track instant gift pickups, prevent guests from choosing 2 gifts, and monitor virtual gift redemptions all in one place. The Challenge

A leading global biotechnology company approached us with unique constraints: they needed a memorable onsite gifting experience for their international workforce at the Venetian Hotel, avoiding the complications and costs of international shipping. With employees traveling from around the world to celebrate the company’s 15th anniversary, the experience needed to feel both personal and seamless, regardless of where each guest called home.
 

The Signature Solution

Signature Group Events designed a custom shoe experience that put the choice in employees’ hands. Using a fully branded website that we built and launched two months ahead of the event, attendees could pre-select their preferred style and size from premium brands including ON, Hoka, and Allbirds, which eliminated international shipping entirely. When the client returned two weeks later with an expanded vision—Apple Watches and designer sunglasses for all employees, plus 150 North Face Thermoball Jackets for top leaders—our team moved quickly, sourcing in-stock product and integrating it into the existing activation without missing a beat. We received all inventory at our fulfillment center, scanned, barcoded, and palletized it before shipping it to the hotel two days prior for ballroom setup. On event day, our staff organized shoes alphabetically for fast, accurate distribution, used scanners to verify every pickup, and guided employees through a dedicated pavilion. Employees could choose from Prada, Gucci, Burberry, Ray-Ban, or Costa sunglasses or opt to have an Apple Watch shipped directly to their door. Every touchpoint was smooth, on-brand, and built around the guest.

The Challenge

Each year, a global law firm brings together more than 500 international partners for their Annual Partner Retreat, an intense few days of collaboration and strategic planning.
